Privacy Policy

HMW Collective (“we,” “us”) runs the HMW Collective website and member portal. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

• Account and profile details you give us: name, email, organization, certification level, photo, bio, specialties, and the other profile fields you choose to fill in.
• Content you add to the portal: resources, comments, agendas, referrals, event registrations, and messages to our team.
• Payment information. Membership payments are processed by Stripe. Your card details go directly to Stripe; we never see or store full card numbers. We keep a record of the payment (amount, date, and Stripe identifiers).
• Usage information such as sign-in activity, pages visited, and which portal tools you use, collected through our own logs and privacy-friendly analytics.
• Contact-form and email information if you join our mailing list or ask about membership.

How we use it

• To create and run your membership, process payments and renewals, and provide support.
• To power the member directory, team-matching, referrals, and other portal features.
• To send transactional emails (receipts, sign-in and security messages, event confirmations) and, with your permission or where the law allows, updates about HMW Collective.
• To keep the platform secure, prevent fraud and abuse, and improve our tools.

AI-powered tools

Some portal tools (such as the agenda generator and team builder) send the text you enter to third-party AI model providers to produce a response. We do not sell that content, and we only send what is needed to run the feature you used.

Who we share information with

We do not sell your personal information. We share it only with service providers that help us run HMW Collective — for example Stripe (payments), Supabase (database and sign-in), Vercel (hosting and analytics), Resend (email delivery), and AI model providers — and only as needed for them to perform those services. Other members can see the profile details you choose to make visible in the directory. We may also disclose information if required by law or to protect the rights and safety of our members and the platform. Our partner firm, Basadur Applied Innovation, receives financial reporting related to membership revenue; this reporting does not include payment card details.

Retention

We keep your information while your membership is active and for a reasonable period afterward for record-keeping, tax, and legal purposes. Financial records are retained as required by law.

Your choices

You can update your profile and email preferences in the portal at any time, and every marketing email includes an unsubscribe link. To access, correct, export, or delete your personal information, email us at support@hmwcollective.com.

Security

We use industry-standard safeguards, including encrypted connections and access controls. No system is perfectly secure, so please use a strong, unique password.

Children

HMW Collective is for professionals and is not directed to children under 16.

Changes

If we make material changes to this policy we will update the date above and, where appropriate, notify members.
